Invite teammates to your workspace
Invite the people who will answer conversations, review work, and receive human handoffs.

Before you start
- Owner or administrator permission to invite members
- An available team seat on the current plan
- The teammate’s name, email address, and intended role
Why invite teammates?
Onlo can automate replies, but your team still owns exceptions, approvals, and handoffs. Invite at least one person who can complete those customer-facing tasks.
Send the invitation
- Step 1
Open Team members
In Onlo, open Settings → Team and select Invite teammate.
Expected resultThe invitation form appears.
- Step 2
Choose the role
Enter the teammate’s full name and email address, then choose the smallest role that gives them the access they need.
Expected resultThe form shows the intended identity and role.
- Step 3
Send the invite
Select Send invite and ask the teammate to open the invitation email.
Expected resultOnlo confirms that the invitation was sent.

Verify real access
After the teammate accepts, ask them to sign in and open the conversation or workspace area they will own.
Expected resultThe teammate can complete their assigned task without receiving excess access.
Ask the invited teammate to accept the email, sign in, and open one area required by their role.
Expected result
The teammate appears in Team members and can complete the intended task.
If you don't see this
- Confirm the invitation was sent to the correct email address.
- Check whether the current plan has an available team seat.
- Confirm your own role includes permission to invite members.
Customer questions
Can I invite teammates on every plan?
Team seats depend on the current plan. Onlo shows an upgrade action when no seat is available.
Which role should I choose?
Choose the smallest role that allows the teammate to complete their support responsibilities. You can review role capabilities on the Team page.
Can I change the role later?
Authorized owners and administrators can update eligible member roles from Team members.
Common mistakes
- Inviting a teammate without checking which conversations or settings they must access.
- Assigning broad administrative access for a support-only task.
- Treating a sent invitation as complete before the teammate accepts and signs in.

Troubleshooting
Invite teammate is unavailable.
- Likely cause
- Your role cannot invite members, the plan is still loading, or the seat limit has been reached.
- Recovery
- Confirm your role and available seats. Use the displayed upgrade action when the plan limit is the blocker.
The teammate never receives the email.
- Likely cause
- The address is wrong or the invitation was filtered by the recipient’s mail system.
- Recovery
- Confirm the address, ask the teammate to check filtered mail, and send a new invitation if needed.
The teammate signs in but cannot open the required area.
- Likely cause
- The assigned role does not include that permission.
- Recovery
- Review the role capabilities on the Team page and change the role only if the task requires it.
